Data Deletion

Version: data-deletion-2026-10-15Effective from: 2026-10-15

Anyone can ask Artima s.r.o., Company ID 19658451, to delete their data in Artima Socials, whether or not they are a customer. You can delete your account in the app, email us, or remove access at a network. These routes have different effects. Account deletion removes the covered database data immediately and media files normally within minutes, in every case within 30 days; retained records are explained in section 6.

Backups. Every day at 03:30 UTC, an encrypted backup (restic, AES-256) of the database and server configuration file is sent to a separate Hetzner Storage Box in Falkenstein, Germany (EU). Backups are used only for disaster recovery, retain 7 daily and 4 weekly snapshots, are automatically deleted when they expire and remain for at most 28 days. Media files are not included. Account or profile deletion removes covered data from the live database immediately; copies made before deletion disappear when their backups expire, within 28 days.

1. Delete your account in the app

  1. Sign in to Artima Socials.
  2. Open Settings → Delete account.
  3. Type DELETE and your password to confirm.

Your sign-in, profile and personal settings are removed and you are signed out everywhere. If you are the workspace's only owner, that workspace is deleted too, including its profiles, posts, scheduled posts, uploaded media, network connections and tokens, direct messages, API keys and webhooks. A workspace with another owner remains for that owner.

If deletion is refused, for example because you are the only owner of another workspace, the app explains why; contact privacy@artima.ai for help.

Posts already published on social networks remain there. Delete them on the network. Account deletion does not revoke the network's permission grant; remove Artima Socials in the network's settings too.

2. Disconnect one social account

In Connections, choose Disconnect next to the account. Tokens and direct messages are deleted immediately and we stop collecting data through that connection. The account's record and its post history, including imported posts, stay until you delete your account. To request deletion without closing your whole account, email privacy@artima.ai.

Disconnecting does not revoke permission at the network; remove the app there as described in section 4.

3. By email

Write to privacy@artima.ai, preferably from the address of your Artima Socials account, and identify the data you want deleted. If needed, we ask for proportionate proof of identity or authority. We respond without undue delay and at the latest within one month of receipt; we may extend this by two further months where GDPR allows and will tell you why. We confirm completion by email, explaining any data that must be retained.

Non-customers can use this channel too. If your data came through a customer's connected account, for example a comment or direct message, we promptly pass the request to that customer and help them handle it. You can also request correction through this address.

4. Remove the app at the network

Open the network's settings for connected apps and websites, or permitted services on LinkedIn, and remove Artima Socials.

Meta: Facebook, Instagram and Threads. When you remove the app, Meta can send us a deauthorisation notice. We then stop using the matching connections and immediately delete their direct messages; their stored access tokens are no longer used and are deleted when you delete your account or ask us at privacy@artima.ai. A deletion request you make through Meta reaches us separately; for matching connections we then delete access tokens and direct messages immediately. Neither notice erases the connection record, posts, imported posts or media; that data follows section 2 and the Privacy Policy. For complete deletion, use account deletion or email us.

LinkedIn. LinkedIn does not notify us when you remove the app. Its removal stops our access there; to delete data already held here, disconnect in Artima Socials and email us, or delete your Artima Socials account.

5. Status of a Meta deletion request

If Meta gives you a confirmation code, include it when contacting privacy@artima.ai about the request. We can explain which data was deleted and why any data remains. A confirmation code alone does not mean all data has been erased.

6. What we keep, and why

  • Audit records: retained for 24 months from the action to establish what happened, including evidence of deletion; email addresses appear only as keyed hashes.
  • Publish-attempt records: retained for 24 months from the attempt to trace publication outcomes, and longer only while a publication is still in progress or its outcome is unresolved; they can include handles, network post IDs and links.
  • Webhook records: raw Meta deliveries and outbound delivery records may include message text. Raw Meta deliveries are kept for 30 days from receipt and outbound delivery records for 30 days after the final delivery attempt; applicable account or message deletion can remove them earlier.
  • Logs: server logs are kept in size-limited files that are overwritten continuously, for service security and troubleshooting.
  • Technical callback receipts and deletion-work records: kept to recognise repeated requests and complete deletion work; no separate time-based expiry currently applies.
  • Legally required data: retained only for as long as a specific legal requirement applies, with evidence of that requirement.

Support and privacy correspondence is kept for 24 months after the correspondence ends to handle and document requests. A post deleted in the app disappears from visible history, but its database record remains until account or profile deletion. The full retention rules are in Privacy section 9.

7. What we cannot delete

We cannot erase posts already published on the networks merely by deleting your Artima Socials account, data the networks hold independently, copies of Threads content on other fediverse servers, or copies sent to tools you chose through the API, MCP or webhooks. Request deletion from the relevant network or tool provider as well.
